THE ROLE YOU WILL PLAY: Office Manager/Bookkeeper

Office Management:

Executive Assistant duties/tasks from Owner or Management
Answer phones
Greet guests - Front Desk Coverage
Open & distribute mail
Filing - paper as well as scanning to company server electronically
Coordinate office maintenance: copiers, repairs, trash, phones, utilities, misc.
obtaining quotes from vendors
tracking contract expiration dates
verify pricing
IT related tasks
schedule
computer
maintenance
track issues with outside IT service provider
UPS shipping preparation & drop off
Tracking of Donation Files and budgets
Coordination of Conference Room Usage and Company Vehicle
Organizational Documents-maintain documents in binders and on server
General filing

Accounts Receivable:

Cash Receipts data entry - Voyager
Student Housing
Entities
Apartments (as needed for account transfers, intercompany payments, etc.)
Data entry of annual tenant file information, including rent charges
Maintain tenant files


Accounts Payable:

Invoice research (including verification of contract pricing)
Invoice scanning and coding via PayScan function in Voyager
Check printing and mailing (all entities)
Certificate of Insurance Tracking
Maintain files (including paid invoices, W9's & certificates of insurance)
Assist in preparation of 1099's at year-end

BACKGROUND PROFILE: Office Manager/Bookkeeper
Requires a high school diploma (or equivalent) and two years of experience in a business office, background in accounting preferred
Previous knowledge of Yardi Voyager A/P System preferred
The Front Desk/Bookkeeper should have experience in accounts payable procedures and cash receipt processes
Candidate must be accurate, concise and detail-oriented as well as skilled in the use of computers, particularly in Microsoft Office Suite applications
Must have the ability to communicate effectively with residents, vendors, and others in the organizations and maintain confidentiality of resident information and ensure resident rights are protected
Estimated Salary: $20 to $28 per hour based on qualifications.
